Privacy Policy
Last updated 1 August 2026. This policy explains what we collect, why, and what you can ask us to do about it.
Shri Khodiyar Mandir Trust ("the Trust", "we", "us") operates the website at shrikhodiyarmandirtrust.website. We are located at 1804 Valencia Pl, Pekin, IL 61554, USA. The person responsible for data matters is our trustee, Robert Short, contactable at info@shrikhodiyarmandirtrust.website or (303) 501-5481.
We are a small volunteer organisation. We collect as little personal information as we can get away with, and we do not sell it, rent it, or trade it — under any circumstances.
1. Information we collect
- Information you give us directly. If you email us, telephone us, use the contact form, register a child for Saturday classes, or ask us to arrange a ceremony, we receive the details you choose to provide: typically your name, email address, telephone number and the content of your message.
- Technical information collected automatically. Like nearly all websites, our hosting provider records standard server logs when a page is requested: IP address, date and time, the page requested, referring page, and browser and operating system type. These logs exist for security and troubleshooting.
- Cookie and analytics information. Only if you consent. See our Cookie Policy and section 5 below.
- Photographs. Volunteers take photographs at open, public events, some of which appear on this website. See section 8.
We do not knowingly collect payment card details through this website. No donation or payment is processed on this site.
2. Why we use it and our legal basis
| Purpose | Basis |
|---|---|
| Replying to your enquiry | Your request / our legitimate interest in answering you |
| Arranging a ceremony or class place | Performance of what you have asked us to do |
| Keeping donation records and issuing receipts | Legal and accounting obligation |
| Website security and error diagnosis | Legitimate interest in a working, secure site |
| Understanding which pages are useful | Your consent (analytics cookies only) |
3. What we never do
- We never sell, rent or licence personal data to anyone.
- We never share your information with advertisers or data brokers.
- We never add you to a mailing list because you contacted us about something else.
- We never telephone people to ask for card or bank details, and no legitimate volunteer of this Trust will ever do so.
4. Who can see your information
Within the Trust, only the volunteer dealing with your enquiry and the trustee. Outside the Trust, information may be handled by our web hosting provider (which stores the site and its server logs) and by the email provider that carries our messages. Both act on our instructions. We may also disclose information where we are legally required to do so by a court or a competent authority.
5. Cookies and analytics
This site sets one essential item in your browser's local storage to remember your cookie choice, so we do not ask you again on every page. Optional analytics cookies are set only after you press "Accept all" on the cookie banner, and they tell us only aggregate information such as which pages are visited and on what kind of device. We do not use advertising cookies, retargeting pixels, cross-site trackers or social media tracking widgets. You can change your choice at any time using the "Cookie settings" link in the footer, or by clearing your browser storage. Full detail is in the Cookie Policy.
6. How long we keep things
- Enquiry emails: up to 24 months, then deleted.
- Ceremony and class records: for as long as the family is connected with the mandir, and normally deleted within 3 years of last contact.
- Donation records: 7 years, as required for accounting purposes.
- Server logs: retained by our host for a short rolling period, typically 30 days.
7. Your rights
You may ask us to tell you what personal information we hold about you, correct it if it is wrong, delete it, or stop using it for a particular purpose. You may also withdraw consent for analytics cookies at any time. Write to info@shrikhodiyarmandirtrust.website and we will respond within 30 days. We will not charge you and we will not ask why.
If you are a resident of California, you have specific rights under the California Consumer Privacy Act, including the right to know what is collected and the right to deletion. We do not sell personal information as that term is defined under the CCPA, and we have not done so in the preceding twelve months. If you are in the European Economic Area or the United Kingdom, the rights described above correspond to those given by the GDPR.
8. Photographs
Photographs taken at open, public events at the mandir may be used on this website, on our noticeboard, and in printed material about our activities. We do not tag or name individuals. If you appear in a photograph and would prefer it removed, email us and it will be taken down promptly, without any need to explain.
9. Children
This website is not directed at children and we do not knowingly collect personal information online from anyone under 13. Where a parent registers a child for Saturday classes, we hold the child's first name, age group and the parent's contact details, and nothing more. A parent may ask for that record to be deleted at any time.
10. Security
The website is served over an encrypted HTTPS connection. Email accounts are protected by strong passwords and two-factor authentication. Paper records — the donation book and class register — are kept in a locked cabinet at the mandir. No system is perfect, and we will tell affected people promptly if something goes wrong.
11. External links
Our site links to a small number of external services, such as mapping providers. Once you follow such a link, that organisation's own privacy policy applies. We have no control over their practices.
12. Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will also be announced on the noticeboard at the mandir.
